How do I process downloaded customer transactions from my companies into InsurancePro?

Answer / Solution

In order to start downloading transactions into InsurancePro from your Insurance Companies:

IVANS users:

  1. First you will need to contact your Insurance Company that supports downloading in ACORD AL3 format.  If they support downloads through IVANS, they will get your IVANS mailbox setup and get your Agency ready for downloads. (See setting up companies using IVANS for more detail). 
      • NOTE: You will need to contact each one of your Insurance Companies to have them set you up for downloadsFor those companies that use IVANS, you will need to download and setup the IVANS TransferManager software.
  2. Before you process a download for the first time, click on the Download/Bridge menu option and click on Setup IVANS TransferManager
  3. Choose the option Create Configuration File.  This will set up the Transfer Manager so that it knows which folder on the local computer that InsurancePro expects to download the files to.  This folder is C:\AIDown.
  4. You are now ready to download transactions by clicking on Download Transactions Now!  This will start the IVANS Transfer Manager software and run your download session.
  5. Click on Download/Bridge and select Process Downloaded.

Companies not using IVANS:

  1. Use the method specified by your Insurance Company to download the transactions from their server to your local computer.
  2. In InsurancePro, choose the Download/Bridge menu and select Process Downloaded.
  3. InsurancePro will ask you to specify the location where the files were downloaded.  Make sure that there are only transaction files in ACORD ALS format in this folder.  By default, this folder is C:\AIDOWN.

Processing the downloaded Transactions and uploading them to InsurancePro:

  1. Click on Download/Bridge and select View Downloaded Transactions.
  2. A list of available transactions downloaded will appear.
  3. InsurancePro automatically matches transactions to clients already in the database using the Policy # and/or Client name.
      • If a match is not found, then you can associate the entry to a current customer in the database through this screen.
      • If a match is not found, InsurancePro will create a new policy for these transactions.
        • To view unmatched transactions, click on the Auto Select button at the top left of the screen.  All transactions that were not matched will be unchecked.
  4. You can check and uncheck transactions that you wish to upload into InsurancePro.
  5. Once you have selected those you want to upload, click on Upload Selected in to InsurancePro button  at the top middle of the screen. 

Please note that this option will make permanent changes to your InsurancePro database that cannot be undone.

InsurancePro automatically tries to match the download from the insurance company to one of the companies currently inthe dabase using the NAIC codes.  See the FAQ for more detail on NAIC codes.
